Cancellation Policy: Darryl Shirt Counselling

1. Purpose of the Policy

Your appointment time is reserved exclusively for you. If you need to cancel or reschedule, please provide at least 24 hours notice. Appointments cancelled with less than 24 hours notice, or missed without notice, may incur the full consultation fee, as the appointment time is unlikely to be offered to another client at short notice. We recognise that genuine emergencies and unforeseen circumstances can occur, and any decision to waive a cancellation fee will be made at the discretion of the practice. Please read the whole policy for a clearer understanding.

2. Cancellation Notice Period

Clients must provide 24 hours notice if cancelling sessions.

3. Rescheduling

Appointments may be rescheduled without charge if sufficient notice is given of at least 24 hours notice.

4. Late Cancellations

A late cancellation is any cancellation made with less than 24 hours notice.

A fee of 50% up to full session fee will be required.

5. Missed Appointments ("No Shows")

If a client does not attend and provides no notice this is a “no show.”

This will incur the full session fee because the appointment could not be offered to another client.

6. Emergencies and Exceptional Circumstances

We understand that unforeseen emergencies occur. Regarding cancellation fees, we reserve the discretion to waive the fee for genuine emergencies.

The following exceptions may mean extended future sessions without fees charged:

• Technology failures during online sessions that are out of client or practitioner control

• Severe weather events

 

7. Late Arrival

If you arrive late, your session will finish at the scheduled time to avoid inconveniencing other clients.

A rescheduled appointment can be arranged if session is significantly delayed but the session fee still applies.

Full fees will still apply.

8. Payment of Cancellation Fees

Cancellation fees need to be paid before any future appointments can be booked.

Payment is made on the same invoice number for the cancelled session via online transfer.

9. Practitioner Cancellations

If Darryl Shirt Counselling Services needs to cancel an appointment, you will be notified as soon as practicable and offered the next available appointment.

10. Repeated Cancellations

Repeated cancellations or missed appointments may result in future appointments requiring pre-payment or in specific cases the practice declining ongoing bookings.

11. Client Responsibility

It is an expectation of Darryl Shirt Counselling Services that all clients

• remember appointments

• arrive on time for the session

• notify the practice promptly of reschudling or cancellation 24 hours before appointment.

 

12. Practitioner Commitment

Darryl Shirt Counselling Services will endeavour to send appointment reminders within the week prior to the appointment and no later than 48 hours.
